Job description

HireArt is helping our client find a Facility Manager to oversee the day-to-day operations, maintenance, and safety of its San Francisco office.

In this role, you’ll partner closely with the Workplace Coordinator, who supports the employee-facing and administrative aspects of the office, while you focus on facilities operations, building systems, vendor management, and workplace infrastructure. You’ll report directly to the remotely based head of business operations, making strong communication, sound judgment, and the ability to operate independently essential for success.

We’re looking for a resourceful, hands-on facility manager who can ensure the office operates safely, efficiently, and professionally while supporting the evolving needs of a fast-paced robotics environment.

As a Facility Manager, you'll:
  • Oversee daily facilities operations and preventive maintenance for building systems, including electrical, plumbing, lighting, fire/life safety, and workplace infrastructure.
  • Serve as the primary point of contact for facilities-related issues, coordinating with landlords, vendors, and contractors to resolve issues quickly and minimize operational disruption.
  • Manage vendor and contractor relationships across janitorial, pest control, landscaping, waste management, electrical, plumbing, and other facilities services.
  • Conduct regular facility inspections to identify maintenance needs, safety concerns, and compliance gaps while maintaining accurate service and inspection records.
  • Ensure compliance with OSHA, fire codes, environmental regulations, and workplace safety requirements, including environments containing robotics equipment and IT infrastructure.
  • Develop and manage the facilities budget, track operational spending, and identify cost-saving opportunities.
  • Partner with Workplace Operations to support office functionality, workplace experience initiatives, investor meetings, and VIP events.
  • Manage facilities inventory, procurement of supplies and equipment, and maintenance of spare parts and tools.
  • Develop and maintain emergency response procedures, evacuation plans, and business continuity processes.
  • Support EH&S activities, including hazardous and electronic waste management and coordination with external safety consultants.
  • Administer office access control systems, including onboarding, offboarding, and user access updates.
  • Coordinate with technical teams on power, utility, and infrastructure needs supporting robotics platforms, servers, and high-density computing environments.
  • Serve as an on-call facilities resource for emergency response and critical operational issues as needed.

Requirements

  • 4+ years of facilities management experience with proven ability to run a building operation end-to-end
  • Strong experience managing relationships with contractors and property managers
  • Working knowledge of commercial building systems: electrical, plumbing, and fire/life safety; ability to triage issues accurately and engage the right vendor or contractor when needed
  • Demonstrated experience managing vendors and contractors: scoping work, reviewing bids, scheduling, and holding vendors accountable to quality and timelines
  • Sound safety orientation; familiarity with OSHA standards and general workplace safety compliance, including environments with powered equipment
  • Familiarity with access control systems and user administration, including onboarding, offboarding, and routine changes
  • Ability to perform hands-on maintenance and repairs independently and to accurately assess when a licensed contractor is required
  • Strong organizational skills; able to manage multiple open work orders, vendor schedules, and competing priorities simultaneously
  • Strong communication skills and a proactive reporting style; comfortable operating independently and keeping a remote manager well-informed without being prompted

Preferred Qualifications:
  • Experience in a startup or tech environment where facilities play a visible role in culture and company presentation
  • Familiarity with the power and infrastructure demands of AI or robotics teams, including high-density computing equipment and mobile robot platforms operating in an office setting
  • Prior experience supporting VIP or executive office environments where presentation, responsiveness, and discretion are expected
  • Experience managing office buildout or tenant improvement projects, including coordinating contractor work with minimal disruption to ongoing operations
  • Familiarity with EH&S compliance requirements and emergency response procedures in a commercial office setting
