Job description

HireArt is helping our client find a Recruiting Coordinator to help create an exceptional candidate experience while supporting the growth of the team during a critical stage of scaling.

In this role you'll play a key role in supporting the recruiting process from scheduling interviews to ensuring a seamless candidate experience. You’ll partner closely with recruiters, hiring managers, workplace and office administration, and leadership to coordinate interviews, manage recruiting operations, and help keep hiring processes running efficiently in a fast-paced startup environment.

As a Recruiting Coordinator, you will:
  • Coordinate and schedule interviews across multiple teams and time zones.
  • Serve as a primary point of contact for candidates throughout the interview process.
  • Ensure an exceptional candidate experience through clear communication and timely follow-up.
  • Partner with recruiters and hiring managers to manage interview logistics and hiring timelines.
  • Maintain accurate candidate records and data within the Applicant Tracking System (ATS).
  • Assist with drafting offer letters, onboarding coordination, and pre-employment processes.
  • Support recruiting events, career fairs, university outreach, and onsite interview coordination.
  • Help improve recruiting operations, processes, and documentation as the company scales.
  • Coordinate travel arrangements and onsite interview experiences when needed.
  • Track recruiting metrics and assist with reporting and pipeline management.
  • Collaborate cross-functionally across Operations teams to support hiring initiatives.

Requirements

  • 1+ year of experience in recruiting coordination, talent operations, HR coordination, or administrative support
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities in a fast-paced startup environment
  • Excellent written and verbal communication skills
  • Strong sense of urgency and follow-through
  • Comfortable working with ambiguity and evolving processes
  • Experience with ATS platforms such as Rippling, Greenhouse, Lever, Ashby, or similar systems preferred
  • Proficiency with Google Workspace and scheduling tools
  • Interest in robotics, engineering, AI, or emerging technologies
Preferred Qualifications:
  • Experience supporting technical recruiting teams
  • Startup or high-growth company experience
  • Experience coordinating onsite interviews, executive scheduling, or recruiting events
  • Familiarity with engineering or robotics-related roles and interview processes
