Job description

HireArt is helping an on-demand, autonomous ride-hailing company hire a Capacity Planning Analyst to support workforce planning and capacity management across operations.

In this role, you’ll translate demand signals and operational inputs into staffing plans using Workforce Management (WFM) tools such as NICE, UKG, or similar systems. You’ll focus on executing established planning processes, maintaining planning assumptions, and supporting workload forecasting to ensure staffing plans remain aligned with demand.

The ideal candidate is a detail-oriented problem solver with strong analytical skills and experience in workforce or capacity planning within fast-paced, operational environments.

As a Capacity Planning Analyst, you'll:
  • Support weekly planning cycles to project staffing needs over a 6-8 week horizon.
  • Analyze performance trends and demand signals to inform forward-looking assumptions.
  • Translate activity volumes and handling times into staffing requirements.
  • Update forecasts based on demand changes, volume trends, and business inputs.
  • Partner with Operations teams to validate planning assumptions (e.g., attendance, attrition, workload drivers).
  • Perform capacity modeling using agreed-upon assumptions and demand inputs.
  • Maintain and update inputs within Workforce Management (WFM) tools (e.g., NICE, UKG).
  • Configure and manage system inputs used to generate staffing and capacity outputs.
  • Validate capacity outputs against operational expectations and identify gaps or risks.
  • Monitor demand versus staffing and recommend adjustments as needed.
  • Ensure planning updates are communicated to the scheduling and operations teams.
  • Validate data across forecasts, capacity models, and WFM systems.
  • Conduct audits of rosters and scheduling configurations to ensure alignment with capacity plans.
  • Prepare and distribute weekly staffing and workload plans for a rolling planning horizon.
  • Highlight risks, gaps, and changes in expected capacity, and support escalation as needed.

Requirements

  • A bachelor’s degree in business, operations, analytics, economics, engineering, or a related field (or equivalent experience)
  • 2+ years of experience in workforce planning, capacity planning, operations analytics, or a similar role
  • Experience with workforce management platforms (e.g., NICE, UKG, Verint)
  • Experience working with staffing models, service levels, or operational throughput data
  • Understanding of staffing drivers (e.g., demand, productivity, shrinkage, service levels)
  • Proficiency in SQL and/or Excel/Google Sheets
  • Strong analytical skills with the ability to interpret trends and support decision-making
  • High attention to detail and data accuracy
  • Ability to operate in a fast-paced, real-time environment
  • Excellent communication skills, with the ability to explain complex concepts to non-technical audiences

Bonus Qualifications:
  • Experience in fleet operations, logistics, or contact center environments
  • Exposure to intraday or real-time workforce management concepts
  • Experience supporting 24/7 or multi-location operations

Benefits:
  • Pre-tax commuter benefits
  • Employer (HireArt) subsidized healthcare benefits (eligibility begins on the first of the month following 60 days of service)
  • Flexible Spending Account for healthcare-related costs
  • HireArt covers all costs for short- and long-term disability and life insurance
  • 401k package

Commitment: This is a full-time, ongoing contract position staffed via HireArt. The role is hybrid, requiring at least three days per week onsite, and is available to candidates local to the Foster City, CA area.

HireArt values diversity and is an Equal Opportunity Employer. We are interested in every qualified candidate who is eligible to work in the United States. Unfortunately, we are not able to sponsor visas or employ corp-to-corp.
