HireArt is helping an on-demand, autonomous ride-hailing company hire a Scheduling Operations Coordinator to support vehicle scheduling across testing and commercial operations.
In this role, you’ll work cross-functionally with engineering and operations teams to understand testing demand, allocate vehicle availability, and ensure public service vehicles are scheduled and ready for daily operations.
The ideal candidate is highly organized, detail-oriented, and comfortable coordinating across multiple teams in a fast-paced operational environment. You are proactive, communicate clearly with stakeholders, and can balance competing priorities to keep operations running smoothly.

As a Scheduling Operations Coordinator, you'll:
- Manage the coordination of day-to-day scheduling activities for the autonomous vehicle fleet across both R&D and commercial operations.
- Review change control board requests and previous-day mission outcomes to adjust schedules and ensure testing milestones remain on track.
- Collaborate daily with stakeholders across multiple departments to understand changing testing requirements and operational demands.
- Exercise judgment to resolve scheduling conflicts, remove operational obstacles, and redefine scheduling approaches when priorities shift.
- Ensure vehicles are configured appropriately to meet the requirements of each test or service operation before deployment.
- Partner with BaseOps teams to schedule maintenance and rework activities while minimizing operational disruptions.
- Serve as a liaison between internal teams and proving ground site leadership.
- Coordinate vehicle logistics, site access, and personnel resources across various proving grounds to support testing and service operations.
- Ensure service-ready vehicles and support personnel are scheduled and prepared for daily operations.
- Make project-level decisions on scheduling priorities and escalate conflicts when necessary.
Requirements
- 2+ years of experience in operations, logistics coordination, scheduling, fleet operations, or a similar operational role
- Experience coordinating schedules, resources, or operational activities across multiple teams
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Ability to analyze operational needs and adjust schedules or plans to meet changing requirements
- Strong written and verbal communication skills with the ability to collaborate across cross-functional teams
- Proven ability to exercise sound judgment and escalate issues when necessary
- Proficiency with Google Workspace tools (Docs, Sheets, Slides) or similar productivity software
Bonus Qualifications
- Experience supporting fleet operations, vehicle testing, or logistics in automotive, robotics, or autonomous vehicle environments
- Familiarity with operational scheduling tools, dashboards, or ticketing systems
- Experience coordinating activities across multiple testing sites or operational locations
