HireArt is helping our client find a Purchasing Operations Specialist to support procurement operations in a fast-paced research and development environment.
In this role, you’ll be responsible for executing procurement activities that support engineering, R&D, and operations teams. You will ensure purchase orders are created accurately, approvals are tracked, and transactions move smoothly from request through completion. Your work will help ensure purchasing activity stays organized, transparent, and aligned with project timelines.
The ideal candidate is highly organized, detail-oriented, and proactive, with a strong sense of ownership and follow-through. This person thrives in a fast-paced environment and is comfortable coordinating across engineering, finance, operations, and suppliers to ensure procurement processes run efficiently.

As a Purchasing Operations Specialist, you'll:
- Review requisitions and statements of work submitted by engineering, R&D, and operations teams to ensure scopes are clearly defined and ready for purchase order creation.
- Create accurate purchase orders in Coupa, ensuring correct supplier information, pricing, cost center coding, and delivery terms.
- Own the purchase order lifecycle from creation through goods receipt and closure.
- Track approval status for purchase orders and requisitions, following up with approvers and budget owners to prevent delays.
- Maintain accurate tracking of open purchase orders, commitments, and budget spend, and provide regular status updates to stakeholders.
- Identify blockers related to budget, scope, supplier terms, or internal approvals and escalate issues promptly with clear context.
- Serve as the primary point of contact for invoice discrepancies, including mismatches or missing PO references, and coordinate resolution with suppliers and finance teams.
- Coordinate with suppliers to confirm deliveries, ensure goods receipts are completed, and verify transactions are closed accurately.
- Maintain clear visibility into procurement activity to ensure no requests or purchase orders fall into unresolved states.
Requirements
- 3+ years of experience in procurement operations or purchasing support roles
- Experience working with procurement platforms such as Coupa, NetSuite, or similar systems
- Familiarity with collaboration and productivity tools such as slack and google workspace
- Understanding of complex supply chains, ideally within high-tech, robotics, or automotive environments
- Experience purchasing software licenses, datasets, cloud services, or technical components
- Strong analytical and problem-solving skills with the ability to identify root causes and resolve issues efficiently
- Excellent communication and stakeholder management skills when working with engineering, finance, operations, and suppliers
- Strong attention to detail and ability to manage multiple procurement requests simultaneously
- Ability to operate effectively in a fast-paced, evolving environment

- Experience using AI tools to improve procurement efficiency or workflow automation
- Background in electronics manufacturing, automotive, robotics, or other high-tech industries
- Experience using analytics or reporting tools to analyze procurement data and spending trends
