Job description

HireArt is seeking a Senior Payroll & Billing Specialist to own execution across payroll and client invoicing in a weekly, multi-state environment supporting ~3,000–4,000 recipients, with ~50% growth expected in 2026. This role is central to payroll accuracy, compliant processing, and precise client billing.

Why This Role Exists
As volume and billing complexity increase, strong ownership at the intersection of payroll and billing is essential to prevent discrepancies, client disputes, and margin leakage.

Core Responsibilities
  • Process weekly, multi-state payroll using payroll systems; ensure timely and accurate transactions
  • Generate and validate weekly client invoices tied to payroll outputs
  • Reconcile payroll and billing data; resolve discrepancies and manage adjustments
  • Verify compliance with federal, state, and local payroll regulations; escalate issues as needed
  • Respond to employee and internal payroll inquiries efficiently and thoroughly
  • Prepare and maintain detailed payroll/billing reports and audit-ready documentation
  • Implement workflow improvements to enhance efficiency and accuracy
  • Work cross-functionally with Accounting and Operations to improve outcomes

Requirements

  • 5+ years payroll and/or billing experience in high-volume environments
  • Proven expertise handling multi-state payroll populations
  • Strong understanding of payroll compliance (local, state, federal)
  • Experience with payroll reporting, reconciliation, and audits
  • High attention to detail; excellent communication and issue resolution skills
  • Advanced Excel/Google Sheets skills
  • Ability to collaborate cross-functionally
