Job description

HireArt is seeking a Senior Payroll & Compliance Specialist to own payroll execution and payroll-related compliance across the U.S. and Canada in a weekly environment supporting ~3,000–4,000 recipients, with significant growth expected in 2026. This role is compliance-focused and audit-driven.

Why This Role Exists
As jurisdiction count and regulatory complexity increase, compliance risk grows non-linearly. This role ensures payroll practices remain current, compliant, and audit-ready—without disrupting weekly payroll.

Core Responsibilities
  • Support weekly, multi-state payroll with accurate and timely processing
  • Reconcile payroll data; investigate discrepancies and manage corrections
  • Respond to employee and internal inquiries regarding payroll and compliance
  • Prepare and maintain detailed payroll reports, filings, and audit documentation
  • Own compliance activities: tax registrations, filings/amendments, UI maintenance
  • Manage garnishments, workers’ compensation, ACA compliance, and audits
  • Build and maintain compliance SOPs, calendars, and controls
  • Collaborate cross-functionally to strengthen compliance and consistency
  • Verify compliance with federal, state, and local payroll regulations; update practices as laws change

Requirements

  • 5+ years payroll operations and compliance experience
  • Proven expertise handling multi-state payroll populations
  • Strong understanding of payroll compliance (local, state, federal)
  • Familiarity with payroll reporting, reconciliation, and audits
  • High attention to detail; excellent communication and issue resolution skills
  • Ability to collaborate cross-functionally
