Job description

HireArt is helping our client hire a Document Support Specialist to join its Procurement and Logistics team.

In this role, you will support the creation, accuracy, and ongoing maintenance of critical internal documentation across the organization. You will work closely with cross-functional teams to ensure that processes, policies, and compliance documents are accessible, up-to-date, and aligned with company standards.

As a Document Support Specialist, you'll:
  • Create, update, and maintain internal documentation, templates, and process guides across multiple business functions.
  • Ensure all documents meet company standards for branding, formatting, clarity, and version control.
  • Partner with subject matter experts to gather content, clarify requirements, and publish updates.
  • Maintain document repositories and knowledge bases in tools such as Notion, Google Workspace, and internal platforms.
  • Support Procurement and Logistics teams by documenting workflows, vendor processes, onboarding materials, and compliance requirements.
  • Ensure documentation is audit-ready and aligned with internal controls and regulatory expectations.
  • Track document revisions, approvals, and publication cycles.
  • Support cross-functional projects that require structured documentation or procedural guidance.

Requirements

  • 3+ years of experience in documentation support, content management, administrative coordination, or a similar role
  • Exceptional attention to detail and the ability to structure information clearly and logically
  • Strong written and verbal communication skills with the ability to collaborate with technical and non-technical teams
  • Experience maintaining documentation repositories (e.g., Google Workspace, Notion, Confluence, SharePoint)
  • Ability to work independently, prioritize effectively, and manage multiple documentation workflows
  • Comfortable working in a dynamic, fast-changing environment
  • Strong writing, formatting, and editing skills
  • Team-oriented mindset with a proactive approach to process improvement

Preferred Qualifications:
  • Experience in a technology, engineering, logistics, or manufacturing environment
  • Exposure to procurement or supply-chain documentation processes
  • Experience supporting audit preparation or compliance documentation
