HireArt is helping our client find an experienced and dependable Office Coordinator to support day-to-day operations and ensure the Ann Arbor office runs smoothly while maintaining a welcoming environment for employees and visitors.
In this role, you’ll assist with daily office needs such as stocking supplies, coordinating vendors, supporting on-site events, and keeping shared spaces comfortable, organized, and efficient.
The ideal candidate enjoys creating orderly spaces, managing logistics, and supporting a collaborative, fast-paced workplace.
As an Office Coordinator, you will:
In this role, you’ll assist with daily office needs such as stocking supplies, coordinating vendors, supporting on-site events, and keeping shared spaces comfortable, organized, and efficient.
The ideal candidate enjoys creating orderly spaces, managing logistics, and supporting a collaborative, fast-paced workplace.
As an Office Coordinator, you will:
- Support daily office operations, including supply management, mail and deliveries, and upkeep of shared spaces.
- Coordinate food, snack, and beverage services, ensuring items are consistently stocked and organized.
- Plan and execute in-office events, meetings, and team gatherings.
- Partner with vendors for cleaning, maintenance, and catering services, escalating issues as needed.
- Greet and assist visitors, maintaining a friendly and professional front-of-house experience.
- Monitor office equipment and coordinate repairs or improvements with IT and facilities teams.
- Support office projects such as space setup, seating updates, and signage improvements.
- Ensure the office environment remains clean, functional, and aligned with company standards.
Requirements
- 2+ years of experience in office administration, facilities coordination, or event planning
- Comfortable handling light physical tasks such as moving supplies or setting up event spaces (must be able to lift up to 20 lbs)
- Highly organized and detail-oriented, with pride in maintaining clean and efficient workspaces
- Strong communication and teamwork skills; able to collaborate across teams and vendors
- Flexible and resourceful in a dynamic environment, with the ability to prioritize and adapt to shifting needs
- Familiarity with Google Workspace, Slack, and basic spreadsheet tracking is a plus
